Stillwater Dwellings is an architecture firm specializing in high-end prefabricated contemporary homes. We are seeking a talented and versatile full-time Office Manager to add to our growing team. This is a key position that will touch all aspects of the business and serve as the hub of the office. The ideal candidate must have Accounting, Human Resources, and Administrative experience, as well as excellent written and verbal communication skills. Strong attention to detail and the ability to balance many responsibilities at once are also critical to this role.

  • Accounting
    • Full-charge bookkeeping, including A/P, A/R, and bank and credit card reconciliation
    • Create and distribute monthly, quarterly, and annual financial statements
    • Complete monthly and annual adjusting journal entries, including WIP
    • Remit sales tax and B&O tax for multiple states and jurisdictions monthly
    • Prepare, issue, and file vendor 1099’s
    • Manage project and departmental cash reserve accounts
    • Prepare documentation for annual income tax prep
  • Human Resources
    • Complete semi-monthly payroll process (in-house)
    • Manage company benefit plans, including insurance and 401k
    • Prepare, issue, and file W-2’s and W-3
    • Prepare and submit L&I, unemployment insurance (multiple states), and paid family leave reports and payments quarterly
    • Prepare and submit FUTA report and payment annually
    • File quarterly federal 940 form
    • Manage recruitment process, including job posting and interview scheduling
    • Onboard and process new employees
    • Maintain HR files
    • Process employee time off and reimbursement requests
  • Administrative and Business Operations
    • Manage and mentor part-time Administrative Assistant
    • Maintain project hour reporting
    • Generate client contracts
    • Issue and collect payment for change orders
    • Run monthly team meeting
    • Book travel for various team members
    • Manage general and professional liability insurance policies
    • Coordinate seminar and open house logistics
    • Coordinate photo shoots
    • Answer phones and provide sales support
    • Special projects and research as needed
  • 2- or 4-year degree required
  • Minimum of 3 years prior Accounting, HR, and Administrative experience
  • Experience with QuickBooks required
  • Intermediate to advanced Microsoft Office skills required, specifically Excel and Word
  • Salesforce, or other cloud-based CRM, experience a plus, but not required
  • Valid driver’s license required

Stillwater Dwellings is an architecture firm specializing in high-end prefabricated contemporary homes. We are seeking a full-time Estimator/Supply Chain Coordinator to add to our growing team. The ideal candidate must have experience with wood frame construction.

  • Interact with production coordinators, project architects, engineers and vendors to understand and incorporate project priorities, and meet project quality, quantity, cost and time directives.
  • Qualify and evaluate out of state vendors, suppliers, and fabricators for custom / semi-custom home components.
  • Prepare detailed quantity take-offs for wood framing components, doors, windows, door hardware, siding, trim, sheet metal, etc., and issue bid requests to appropriate vendors/suppliers for the same.
  • Develop and prepare cost estimates from architectural drawings and actual take-offs using historical pricing information and minimal input from vendors and suppliers.
  • Qualify proposals and tabulate job costs according to project specifics.
  • Coordinate detailed critical path job schedules for material deliveries relative to job-site progress.
  • Prepare and manage purchasing schedule for timely issuance of purchase orders taking into account material lead times and delivery deadlines.
  • Experience in / knowledge of, custom residential wood frame construction.
  • Team player that works well with others and demonstrates a commitment to continuous learning.
  • Personable with excellent communication and written skills.
  • Knowledge of industry best practices, product options and limitations, material ordering procedures, material finishing, and site logistics.
  • Dedicated, well organized, able to plan, prioritize, and manage multiple tasks.
  • Detail oriented with the ability to focus on quality, accuracy, and attention to detail.
  • Total responsibility for their personal workflow and time management in order to meet deadlines with minimal supervision.
  • Candidate to be proficient with Excel and the complete Microsoft Office Suite.  Experience with estimating software such as: MC2, Timberline/SageCRE, QuickBid, On-Screen Takeoff, etc. is valued but not necessary.

We are seeking a full-time Director of Architectural Design with 11+ years of residential design and management experience to add to our growing Design Studio team.

We are looking for an ambitious leader with a strong drive to teach, learn, motivate and inspire other team members.

  • Provide Design Studio management, oversight and coordination of in-house staff and projects
  • Prepare, monitor, maintain and meet project budgets, schedules and deadline.
  • Participate in the entire design process; from the initial stages of design, code and accessibility research, preparation of schematics, to pricing and construction sets to ensure expectations are met
  • Mentor and prepare zoning review, code review, and permit requirements
  • Carry out project vision from start of schematic phase through to fabrication
  • Provide in-house design documents utilizing CAD
  • Review staff work and consultant submittals to ensure compliance with appropriate codes, client guidelines and project requirements
  • Must be capable of managing 40+ projects simultaneously
  • Manage correspondence with zoning and permitting jurisdictions
  • Manage client relationships. Good communication skills, verbally and graphically, are a must
  • Front consultant coordination efforts: both those contracted to Owner and those directly contracted to Stillwater Dwellings
  • Communicate well with other staff members and clients
  • Advise management of project progress on a regular basis
  • Observe, identify and participate in areas of potential process, service, and product improvement
  • Accredited Masters of Architecture degree
  • Washington Licensure is required
  • 8+ years of design experience. Much of this experience should be in high-end, single family residential design with wood frame construction
  • 3+ years of design studio management with a minimum staff of 4
  • Must be proficient in Auto CAD, working knowledge of Revit and/or SketchUp is a plus
  • Must have strong knowledge and experience preparing permit and construction documents
  • Must have highly developed written as well as interpersonal skills
  • LEED Accreditation is a plus
